Below we have listed frequently asked questions for booking Weddings and Corporate events. Please feel free to contact us with any other questions that are not listed below.

Weddings

How much do you charge for weddings?

We have 2 great packages to choose from that will surely meet your wedding budget. Our most popular are the Silver and Gold packages:

  • Silver Package – This package includes 3 sets of live music for your reception. Midnight Ride will learn 1 special song for you, if not already on our current song list. We will MC your wedding and ensure that all of your special events are announced. Rates depend on if you want to add our wonderful 3 piece horn section. Contact us for our reasonable rates!
  • Gold Package – This package includes 4 sets of live music for your reception. Midnight Ride will learn up to 2 special songs for you, if not already on our current song list. We will MC your wedding and ensure that all of your special events are announced. Rates depend on if you want to add our wonderful 3 piece horn section. Contact us for our reasonable rates!

Can Midnight Ride provide a “Master of Ceremonies” (M.C., Emcee)?

Our band members Shawn and Deedee can ensure that all your special announcements and activities are communicated throughout the event and we can keep your special day moving along seamlessly.

How will Midnight Ride participate in the timeline of our event?

We advise that you provide us with a detailed timeline of your wedding, including timing for events such as toasts, first dance, other special dances, cake-cutting, etc, along with any announcements, surprises, or whatever you would like us to be aware of. Also, please provide the names of people in the wedding party and contact information for people such as wedding planners or catering managers. We also can accept the timeline developed by your wedding planner. In the final 7-10 days before your event, we integrate the timeline information with your song selections and our best repertoire of music. This way, everyone is in agreement about what will happen and when. Of course, if changes occur during the event itself, we can easily adapt to those changes.

When do you arrive for set-up?

We typically arrive at least 75 minutes before guests arrive. If you have any special requests on our arrival time, we will try to accommodate you and your guests.

What if I want the band to play overtime?

We frequently are asked to play longer at events because we have such a great song list. If you decide that you want the band to play beyond the contracted time, just let us know by the last contracted set at the event. You will be asked to sign an overtime authorization and to pay for overtime immediately after the event. Midnight Ride’s overtime rate is set at $350 per half hour or $600 per hour.

Once I decide that I’d like Midnight Ride to perform at my wedding, how long should I wait before I book the band?

The sooner the better. We frequently get multiple requests for the same date and sometimes we book out a year or more. Also, some band members have solo “original music”. They attempt to coordinate their other events around Midnight Rides’ schedule, so your early booking greatly reduces scheduling conflicts and makes it much more likely that all of our regular, “first call” band members will be available for your event.

Can Midnight Ride provide musicians to play jazz/pop/standards during the cocktail hour?

Yes, we can provide an acoustic line-up of the band to play standards for background music for your guests. We can provide acoustic guitar/vocals and female vocals. This would be an additional fee of $300 and the set would be for between 30-60 minutes.

Is there a deposit required to book Midnight Ride and reserve our date?

Yes, in order to reserve your date, we do require a $750 deposit. Once the contract is sent and signed by both parties, the deposit is due within 24 hours (payable via cashier’s check/money order/Venmo). The deposit is non-refundable unless agreed upon by both parties or if Midnight Ride needs to cancel for any unforeseen circumstances (we’ve never cancelled!).

Can I give the band the final payment the day of the event?

Yes, the final payment is due on the day of the event. You may want to have a designated bill payer during the event as you probably don’t have time to be scrambling about to pay us in the middle of your important day. You may also pay in full any time before the date.

How many songs does the band play, and can I customize from your song list?

Depending on the package that you chose, we will play between 3-4 sets, and each set is approximately 14 songs. You will receive an updated copy of our song list and are encouraged to select songs from our song list and also songs that you DON’T want us to play. With over 750 shows performed, we know how to keep the dancing going so please allow us some creative freedom to fill in your song selections with others that are guaranteed crowd pleasers!

How long are sets and breaks?

Sets are usually 50 minutes with a 10 minute break in between. We are not strict about this as some events are planned with alternative break placement and lengths. Very frequently dinner delays or other unforeseen circumstances result in our taking only 2 breaks, one of which is longer. We often end the event with a longer music set if it helps keep the party rolling.

Will the band bring an MP3 player or device to play recorded music during the band breaks?

Yes! You might also consider scheduling toasts during band breaks.

What if I need to change the performance times that are on my contract?

Please let us know immediately so we can inform all of the musicians. This will avoid any possible scheduling conflicts. We request that no event start times be changed within the last 2 weeks prior to your event. Delays in our start time requested by the client at the event (i.e. ceremony or photo shoot runs late) does not alter our end time without incurring overtime payment.

What equipment does your band provide?

Everything except lighting and a stage. We have a great PA system that includes a 20 channel mixer, two 15” main speakers and an 18” subwoofer. We provide all microphones/cables/stands and instruments.

Can our guests use your microphone for special announcements/ toasts?

Yes! We have 2 wireless microphones that your guests can use upon request.

How do you accept payment?

We accept cashier’s checks, money orders, cash and Venmo (that’s right Midnight Ride is on Venmo!)

Is tipping the band appropriate?

Tips are not solicited or expected but are certainly appreciated!

What if the band doesn’t show up?

This has never, ever happened! Not in the 12 year existence of Midnight Ride. We take great pride in our reputation as professionals. We are obligated to provide the band by contract.

What happens if one of the band members gets sick or is unable to perform?

We will replace him/her with a musician of equal ability. Since we work a lot, we necessarily have developed a list of top singers and musicians who have frequently played with us and know our particular arrangements.

What will the band wear to my event?

We will discuss your preferences with you. Normally, the male performers will wear button down shirts, ties, vests, dress pants and dress shoes. The female performer will wear a dress. Some corporate events call for a relaxed, casual appearance, although this is still “dressy” rather than “grungy”. We will try to accommodate you in any way we can.

What are the band’s power requirements?

It is best if the band has easy access to two 20-amp dedicated circuits. We have run off a single, larger power generator for some of our concert-in-the-park and outdoor events.  

How much room does the band need?

Ideally, the minimum stage is 10’ x 16’ to allow for maximum freedom of movement in singer’s dance steps and other performance routines. Stages are ideally 12-18” high or higher, to provide excellent visual sightlines and sound projection of all frequencies across a crowded dance floor, but shorter stages are acceptable. In fact, we frequently play in rooms that do not have a stage at all, and the reported experience is very good for all the guests. The band does not provide stages. 

Do I need to provide meals for the band?

This will be indicated on your contract. It really is good relations to provide meals to band members whose driving, set-up, playing, teardown, and drive back time may easily exceed 10 hours. Our experience has been that most clients so appreciate all of our pre-event effort that they regard us as friends before we play the first note! So they often want to give us the “guest meal,” which we prefer. However, we recognize the validity of budget concerns, and we gladly accept the less expensive “vendor meals” that many venues can provide.

Does the band bring their own lighting or umbrella?

No. You will be required to provide adequate lighting and an umbrella for the band (especially if we perform outdoors). Additionally, please provide heaters for the band if necessary. Keep in mind, if your guests are cold, your band is also cold. Frozen fingers and frozen vocal cords are no bueno! 

Will the band learn any songs that are not their current song list?

Yes, if you have the silver package, we will learn 1 song of your choice. For the gold package, we can learn up to 2 songs of your choice. If you have any special requests, please let us know AT LEAST four weeks PRIOR to your event. Please provide us with the audio file if it’s not a popular song. Also, some weddings that we’ve done have us learn just part of a song and then medley/segway into another song that is on our list. If you have that type of request, please let us know asap. 

Corporate Events

Have you played any outdoor events?

YES! Midnight Ride has played over 75 large outdoor and corporate events in the last 12 years. We have such a vast and versatile songs list, we can even play specific genres if requested. We specialize in high-energy shows that are perfect for all ages! 

When do you arrive for set-up?
